About the Indiana State Library:

The Indiana State Library and Historical Bureau is a public library building, located in Indianapolis, Indiana. It is the largest public library in the state of Indiana, housing over 60,000 manuscripts. Established in 1934, the library has gathered a large collection of books on a vast variety of topics.

Salary Statement:

The salary for this position traditionally starts at $39,000.00 but may be commensurate with education or work experience.

A Day in the Life:

The essential functions of this role are as follows:

  • Review purchasing requests; process requisitions in PeopleSoft for issuance of purchase orders

  • Maintain accounting records; retrieve documentation for audit requests

  • Assist processing payroll, maintain personnel, payroll and benefit files

  • Assist processing general ledger journals

  • Reconcile assets in PeopleSoft Financials and assign asset tags to supplies, equipment and furniture over $500

  • Assist in creating and defining projects for federal grants

  • Receiver for purchase orders.

  • Process contract clearances and EDS forms

  • Monitor and maintain reports for federal grants and process draw down requests

  • Process funds from other divisions and mailings for the report of collections. Record accounting entries in PeopleSoft Accounts Receivable Module

  • Review and process out of state travel requests and expense reimbursements.

  • Train & educate staff about travel policies and procedures

  • Recommend changes in accounting policies and methods and assist in developing accounting procedures.

What You'll Need for Success:

You must meet the following requirements to be considered for employment:

  • Broad knowledge of theories, principles, and practices of public accounting.

  • Broad knowledge of federal and state laws, policies and procedures pertaining to government accounting and bookkeeping.

  • Broad knowledge of agency function and organization.

  • Broad knowledge of automated accounting systems.

  • Ability to solve standard accounting problems.

  • Ability to evaluate and recommend modifications to existing accounting policy and procedures.

  • Ability to prepare and interpret financial statements and reports.

  • Ability to assist in budget preparation.

  • Ability to accurately perform arithmetic calculations.

  • Effective communication skills.

Supervisory Responsibilities/Direct Reports:

This role may be utilized in a supervisory capacity based on agency needs.
